Guidelines for Hosting an International Delegation

OSU welcomes distinguished visitors from around the world and values the contribution these visitors make to the internationalization of the University.  International Affairs helps co-ordinate the visits of delegations from international institutions, universities, government offices and other organizations that have a University wide scope and are consistent with our international mission, values and goals, as well as in accordance with the OSU Strategic Plan 3.0 Phase iii (  

International Affairs strives to arrange visits that maximizes the opportunity to exchange information, share ideas and to identify possibilities for sustainable collaborations. 

Common Delegation Objectives

  • Seeking to establish a new relationship or collaboration
  • Strengthening an existing partnership
  • Creating new international programs and learning opportunities for students
  • Enhancing the educational or research capacity of an individual department, academic unit, or the broader university
  • Exchanging knowledge and ideas around topics of mutual interest
  • Celebrating of a shared accomplishment
  • Signing of Agreements

Assistance Offered by International Affairs

  • Drafting and coordinating the program for the visit
  • Scheduling meetings with OSU faculty/staff, as appropriate
  • Preparing a Arranging a campus tour
  • Scheduling rooms and catering
  • Letter of Collaboration (LoC)
  • Advising on gift protocol
  • Issuing an appropriate letter of invitation upon request

Exceptions and Limitations

We regret that we are unable to pay for visitor’s meals, nor assist with hotel or transportation arrangements.

There may be additional costs due to catering, room reservations, photography etc., that will be the responsibility of the visitor.

Meetings will be conducted in English, and we are unable to provide interpreters for our visitors.

Please inform International Affairs of progress in obtaining necessary travel documents.  We are unable to schedule appointments until we receive confirmation of the visitor’s definite dates on campus.

OSU will generally accommodate visits from inquiring institutions.  In some cases, the University may have to decline the visit request if International Affairs determines that: 

  • The purpose of the visit is not aligned with the University’s strategic objectives
  • There is lack of interest from the OSU faculty/staff
  • The proposed date of the visit does not suit the availability of the OSU faculty/staff who needs to be involved
  • The proposed date of the visit is a national or university holiday
